For distributors of building and plumbing materials

Customer orders, read and matched to the codes in your catalogue.

Customers send orders however suits them: a photo of a list, a WhatsApp message, an email, a PDF or a spreadsheet. The agent reads each line, finds it in your catalogue, shows how confident it is and prepares the order for your ERP. A person checks the flagged lines and approves.

Working prototypeReading and matching orders works. Automatic intake from email and WhatsApp and a direct ERP connection are still in progress.

An order screen in the order intake app, in Romanian: for each line the customer wrote, the matched catalogue code, product, quantity, value and a coloured confidence score (78%, 93%, 82%, 95%), with questions for the customer on uncertain lines.
Screenshot from the prototype (interface in Romanian). Example order; the test catalogue uses real brands with made-up codes and prices.

What it solves

Where order handling loses time, and what the agent does there.

Orders come in through five channels and every customer writes differently.

One place for every order.

Upload photos of the list (several pages if needed), a PDF, a spreadsheet or the message text. Orders appear in one list, by status: to check, approved, imported.

Customers ask for “15 plasterboards” or “2 boxes of screws”, not product codes.

Catalogue matching based on how customers ask.

The agent searches by code, name and synonyms, converts units where needed (for example rebar lengths into kg) and gives every line a confidence score.

The same corrections are made every day.

Corrections become rules.

When you change a code or a quantity and save, the agent remembers the correction and applies it to the next orders.

How it works

One example, from message to ERP.

  1. Message received

    WhatsApp, original in Romanian

„Buna ziua, pt santierul din Floresti: 20 saci ciment, 3 bare fier 10, 40 bca 10, 2 role cyy 3x2,5, 15 rigips, 30 cw100 si 2 cutii purici. Livrare joi dimineata.”
  2. Lines identified

    • 3 bare fier 10FIE-0003 · PC52 rebar Ø10 · 22.2 kg93%
    • 2 role cyy 3x2,5ELE-0002 · CYY-F 3x2.5 cable · 200 m95%
    • 40 bca 10ZID-0001 · Ytong AAC block 10 cm · 40 pcs82%
  3. Checked by a person

    • 15 rigips62%Question for the customer: “Standard or moisture-resistant (green) board?”
    • 20 saci ciment78%Question for the customer: “Is Holcim Structo Plus cement OK?”
  4. Export

7 lines, 4,009.78 lei excl. VAT, approved by a person.

The order goes to the ERP as an import file, with its data fixed at approval.

Example from the prototype, using the test catalogue (real brands, made-up codes and prices). Values are the ones the app shows for this message.

A person approves every order. The confidence score is the agent's estimate, not a guarantee. Automatic approval stays off until we have measured on real orders how often it is wrong.

Stage

What works today and what comes next.

The prototype is not yet in daily use at a distributor. We are looking for the first distributors who want to test it on their own orders.

Works in the prototype

  • Reading photos, PDFs, spreadsheets and pasted text.
  • Catalogue matching with a confidence score per line.
  • Questions for the customer on uncertain lines.
  • Memory built from your corrections.
  • Approval by a person and an ERP import file.

In progress for daily use

  • Automatic intake from email, WhatsApp Business and voice messages.
  • Direct ERP connection and per-customer catalogue and price sync.
  • Team accounts with several users and roles.

Questions

What distributors ask us.

Do I need to change my ERP or how I receive orders?

No. Customers keep sending orders the way they do today. The agent works between the incoming message and the ERP you already use.

How accurate is the agent?

Every line has a confidence score, and lines below the threshold are flagged for checking. We will not publish an accuracy rate until we have measured it on a distributor's real orders.

What do you need for a demo?

For a first conversation: the ERP you use, roughly how many orders you get per day and one example order without customer details. If we go further, a demo on your orders also needs a catalogue export with a code and a name for each item.

Which ERP systems does it work with?

The prototype prepares an import file for the selected ERP. A direct connection is built for each distributor's ERP, usually together with the company that maintains it. Tell us which ERP you use and we will check which option fits.

How much does it cost?

There is no public price yet. We set it once we know your order volume and what ERP connection is needed.

See the agent on your own orders.

To start, we only need the ERP you use, your rough order volume and one example order without customer details. We discuss the catalogue after that first exchange.
